Charity Casino Night Fundraisers: The Custom Pieces That Make It Feel Like the Real Thing

Fall gala dates get claimed three to six months out, which means the committees running them are ordering now. Here is what we actually make for casino-night fundraisers, and how each piece earns its place.

Fall is the busiest stretch of the year for fundraiser galas, and the popular October and November dates get claimed three to six months in advance. If you are on a committee planning one, you are already past the point where the venue and the caterer are decided — and squarely at the point where somebody has to answer the question of what the room actually looks like when guests walk in.

Casino night has become the format organizers keep choosing over the traditional seated dinner, and the reason is simple: guests circulate. Instead of sitting at one table for three hours, people move between games, run into each other, and stay later. That energy is the whole point. But it only works if the room reads as a real event rather than a rented folding table with borrowed equipment on it — and that comes down to a handful of small, custom pieces.

Custom Poker Chips: The Piece That Does Three Jobs

A custom chip is the single highest-leverage item on this list, because it quietly does three jobs at once. It is the buy-in, so it replaces a paper drink ticket or raffle stub. It is a scorekeeping unit during play. And when the night is over, it is the only thing from the event that goes home in a pocket instead of a recycling bin.

Our chips are full-color UV printed on both faces, which means your organization’s logo reproduces exactly — gradients, multiple colors, a sponsor mark on the reverse. They come in sets of 20, and they are printed in our Las Vegas studio.

  • Doubles as the buy-in, so you are not printing separate drink or raffle tickets
  • Full-color on both faces — organization logo on one side, title sponsor on the other
  • Five stripe styles (6-stripe in three variations, 8-stripe, and 12-stripe) to match your palette
  • Sets of 20 make it easy to scale from a 50-guest event to a 500-guest one
  • Guests keep them, which quietly extends the life of the event long past the night

A note on sizing: casino-style fundraisers typically run 3–4 gaming tables for 50–100 guests, 5–7 tables for 100–200, and 8–12 or more for events above 200. Plan your chip count against your guest list rather than your table count — most committees want at least one keepsake chip per attendee on top of what is in play.

Check-In: Magnetic Name Badges for Committee and Volunteers

The check-in table is the first impression of the entire night, and it is almost always the least-planned part of it. Adhesive paper badges curl, fall off, and mark the person wearing them as temporary. A full-color magnetic name badge with your organization’s logo does the opposite: it makes your volunteers legible from across a crowded room and it makes the operation look staffed rather than improvised.

These are worth ordering in bulk once and reusing across your whole event calendar rather than treating them as a per-event expense. The magnetic backing means no pinholes in donated clothing, which volunteers notice and appreciate.

The Bar: Acrylic Drink Tags

This is the small problem nobody budgets for. Twelve identical glasses end up on a bar or a high-top, nobody can identify their own, and the caterer washes forty extra glasses over the course of the night. Full-color die-cut acrylic drink tags slot onto the stem and solve it outright.

For a fundraiser specifically, they do a second thing: printed with a sponsor logo, they are an inexpensive, genuinely useful place to put a sponsorship credit that guests will actually look at. Our acrylic drink tags are made in the USA.

The Floor: Table Numbers and Place Cards

Gaming tables need to be findable and seated portions need to be organized, and handwritten tent cards undercut everything else you spent money on. Full-color acrylic table numbers with slotted bases sit upright without tipping and read from across the room. If your evening includes a seated dinner or an awards segment, printed acrylic place cards double as a keepsake guests take with them.

When to Order

Our production runs 5–7 business days from the moment you approve your proof. That is the part most committees are surprised by, because promotional suppliers routinely quote several weeks for custom-decorated goods and gala planning guides tell you to budget months.

The practical advice: get your artwork settled early, because that is the step that actually takes time. Sponsor logos arrive late, board members have opinions, and the final sponsor tier is often not confirmed until close to the event. Once the art is locked, the production window is short enough that you are not the bottleneck.

You will see a proof and approve exactly what prints, before you pay. Nothing goes onto a chip, a badge, or a tag until you have signed off on it.

A Word on Artwork

Fundraiser artwork has one complication that ordinary corporate work does not: you are usually combining your own logo with several sponsor marks that arrive in whatever format the sponsor happened to have. A vector file (AI, EPS, SVG, or PDF) always reproduces best. A high-resolution PNG with a transparent background works well too. What struggles is a small logo pulled off a website or a screenshot from a slide deck — at chip size, there is nowhere for that to hide.

If you are collecting sponsor logos, ask for them in vector format in the same email where you confirm the sponsorship. It is a much easier ask then than it is three weeks later.
